National Community Wood Recycling Project (NCWRP), trading as Community Wood Recycling, provides waste wood collection services across the UK through a network of independent member enterprises.

We are the data controller for the personal data described in this notice except where stated otherwise.
Provision of services on this website
Consent is needed to operate Google services on this website such as Google Maps and YouTube, which employ cookies and data collection. Data is also used by the WordPress Jetpack service for performance, monitoring and security.
If consent is provided, this also allows us to monitor website usage for statistical and improvement purposes via Google Analytics, but no personally identifiable information is collected by us. No information collected will be provided to third parties except the web traffic analytics services we use. Likewise, no cookies will be placed on your device except those created by these services. If you wish to opt out of this tracking, please use the privacy options provided by your browser or click ‘forbid’ on the consent banner.
Any information collected or emails received will be held in compliance with the UK Data Protection Act and the General Data Protection Regulation. If you contact us we may retain your details for the purpose of communicating with you in future, but this information will not be used for any other purpose or shared with any other parties except as necessary to store it using our database management software or for business communication (see below).

Management of business contact data
We collect information from contacts at current and prospective client companies for the purpose of marketing, managing and delivering our services. NCWRP acts as the data controller for client, prospect, site and service-delivery information described in this notice.
What personal data we collect
We collect and use the following types of personal data relating to clients and prospective clients: name, work email address, work telephone number, job title, site and company details, records of communications and service activity. We do not intentionally collect personal data beyond what is necessary to provide our services.
How we collect your data
We collect personal data: directly from you (e.g. enquiries, orders, calls), via your organisation, through our sales and marketing activities, via referrals from partner or member organisations, and through publicly available sources (e.g. company websites, directories).
How we use your data
We use your personal data for the following purposes: to provide and manage waste collection services, to respond to enquiries and quotations, to to manage and maintain our relationship with you, to coordinate collections with our member enterprises and provide them with the information necessary to deliver services on our behalf, to send service and operational communications, and to contact you about services we offer that are relevant to your organisation, including updates, re-engagement, and related service and network information. We will not use your data for purposes that are incompatible with those listed above without informing you.
Lawful basis for processing
We rely on the following legal bases: contract – where processing is necessary to deliver services you or your organisation have requested, legitimate interests – for managing relationships, coordinating services, and promoting our services where appropriate, consent – where required for marketing communications.
Data sharing
We share personal data with:
a) Member enterprises: We share relevant customer, contact and site information with independent Community Wood Recycling member enterprises where necessary to arrange and deliver waste collection services.
NCWRP remains responsible for the management of customer and service-delivery information that it collects and maintains. Member enterprises are given access to that information solely for the purpose of delivering Community Wood Recycling services in accordance with their agreements with NCWRP.
Member enterprises are independent organisations and act as data controllers for information relating to their own employees, user accounts and internal business operations. They are responsible for complying with data protection law in relation to those activities.
b) Service providers: we use trusted providers (e.g. CRM systems, IT platforms) who process data on our behalf under contract.
c) Legal or regulatory bodies: we may share data where required by law or to protect our legal rights.
We do not sell personal data.
Waste Transfer Note system
The Community Wood Recycling Waste Transfer Note (WTN) website and mobile application have a separate privacy notice that explains how personal information is processed when using those systems. Where you use the WTN system, that privacy notice should be read alongside this general privacy notice.
International transfers
Your data is primarily stored within the UK. Where we use service providers outside the UK, we ensure appropriate safeguards are in place.
Data retention
We keep personal data only as long as necessary for the purposes described. Contacts at companies with which we have current work are retained for the purpose of managing our relationship. Contacts in our database at companies that are not current clients with no significant contact for 3 years or more are flagged and periodically reviewed.
How we protect your data
We take appropriate technical and organisational measures to protect personal data, including: access controls and authentication, secure systems and devices, staff training, monitoring and incident response procedures.
Your rights
Under UK GDPR, you have the right to: access your personal data, request correction of inaccurate data, request deletion of your data (in certain circumstances), restrict or object to processing, data portability (where applicable). To exercise your rights, contact us using the details above.
Complaints
If you are not satisfied with how we handle your data, you can contact the Information Commissioner’s Office (ICO). We encourage you to contact us first so we can resolve your concern.
